SayPro Responsibilities

Objective:
To ensure a well-organized, development-focused, and participant-centered environment at SayPro Monthly Soccer Camps by managing registration, supporting communication, tracking performance, and continuously improving camp delivery based on data insights.


1. Prompt and Professional Inquiry Response

  • Respond quickly and courteously to inquiries from parents, guardians, and participants.
  • Maintain a professional tone across all communication channels (phone, email, and in-person).

2. Clear Information Provision

  • Provide detailed information regarding:
    • Camp structure, schedule, and training focus
    • Participant groupings and session logistics
    • Facility details and equipment requirements

3. Transparent Pricing Communication

  • Clearly explain all associated costs, including:
    • Registration fees
    • Optional add-ons (e.g., meals, transport, gear)
    • Any applicable discounts, offers, or payment options

4. Documentation Support and Compliance

  • Assist families with completing and submitting required documentation:
    • Registration forms
    • Medical consent and emergency contact forms
    • Waivers and safety agreements
  • Ensure all submissions are complete, accurate, and securely stored

5. Registration Tracking and Accuracy

  • Maintain an accurate and up-to-date registration database
  • Monitor form completion, participant details, and special requirements
  • Proactively follow up on missing or incorrect data to ensure readiness

6. Customer Service for Parents and Guardians

  • Act as the primary contact for all camp-related inquiries from families
  • Address questions regarding:
    • Camp logistics (drop-off/pick-up, meals, etc.)
    • Health and safety protocols
    • Participant well-being and special accommodations
  • Provide professional and empathetic support at all times

7. Collection of Data and Performance Metrics

  • Collect and track player performance data throughout the camp, focusing on:
    • Technical skills (e.g., passing, dribbling, shooting)
    • Tactical awareness
    • Physical fitness and conditioning
  • Coordinate with coaches to ensure accurate and timely data entry

8. Feedback Reporting and Individual Development Support

  • Produce individual player feedback reports based on performance metrics and coach observations
  • Assist coaches in developing Individual Development Plans (IDPs) tailored to each player’s strengths and areas for improvement
  • Ensure feedback is communicated effectively to players and, where appropriate, to parents/guardians

9. Performance Data Analysis for Program Improvement

  • Analyze collected player performance data across sessions to:
    • Identify common skill gaps or challenges
    • Highlight successful training modules and methods
    • Detect patterns in player progression or stagnation
  • Use insights from this analysis to:
    • Recommend adjustments to future camp curriculum
    • Propose enhancements in coaching strategies and drills
    • Collaborate with SayPro Advice Desk Officer (SCDR) and SayPro Development Royalty on long-term training improvements

10. Internal Coordination and Reporting

  • Maintain regular coordination with the SayPro Advice Desk Officer (SCDR) and the SayPro Development Royalty team
  • Share periodic reports summarizing:
    • Registration trends
    • Participant satisfaction
    • Performance outcomes
    • Suggestions for future improvement based on data insights
